Training Schedule Management
AN OVERVIEW:
1. Types of Training Programs
Training Programs can be of various types; each training program may be unique and also has the facility to add a new type of training program. The user can edit any record, but cannot change they type of Training program.
2. Topic of Training
Topic of training program can be maintained under each type of training program using the parameters of Topic name ( alpha numeric ) and Type of training ( alpha numeric ). Users can add a new topic which may be unique. Each topic will belong to one type of training and have many topics and these topics can be edited at any given point of time.
3. Trainers
A list of trainers can be maintained who conduct the training program like the Internal Trainer name (alpha numeric) and External Trainer (Boolean). Provision to add a new trainer name both internal & external is available as well as editing facility to change the name of the trainer as and when necessary.
4. Employees (Fetch list from external database+)
This facility allows retrieving and maintaining a list of employees working in the organization. The parameter allows in fetching data from the external database using a query which can be defined with the help of a client side project coordinator/ EDP department. Here the user cannot add or change any data or records.
5. HOD’s (Fetch list from external database+)
This facility allows retrieving & maintaining a list of HODs department wise in the organization. The parameter allows in fetching data from the external database using a query which can be defined with the help of a client side project coordinator/ EDP department. Here the user cannot add or change any data or records.
6. Training Room List (Fetch list from external database^)
This facility allows retrieving & maintaining a list of Training Rooms available in the organization with an option of using in coming card reader panel using the external database with the information of date & time. This parameter allows fetching data from the external database using a query which can be defined with the help of a client side project coordinator/ EDP department. Here the user can create new rooms using unique names and can edit at the same time.
7. Yearly Training plan for Employees
This facility allows to create a plan of training programs for group / field of employees/students in a year. It includes a training plan (alpha numeric), plan description (alpha numeric), year (numeric), topic of training (alpha numeric) and employee/student ID (alpha numeric). The user can add new plan which will have a unique ID. There will be a small description to the plan for the present year containing a topic for which the employee/student list can be retrieved. User can edit the Plan description, Year of plan, Type of Training, or the employees /students selected for the training plan. User can delete a plan if the plan is not already scheduled.
Pre Training Data Management
1. Creation of a Training Program
This is a primary interface where the data from masters will be used to create a training program schedule .The parameters here will contain:
• Training Program Schedule Code (alpha-numeric)
• Trainer (from Master) (alpha-numeric)
• Selection of Training Room (with in-coming panel ID) for the Training program (from external database^) (alpha-numeric)
• Yearly Training Plan ID (from Master) (alpha-numeric)
• Date & Time when Training program starts (Date/Time type)
• Duration of the Training program (Numeric)
• Selection of people from Employee list (from Master) (alpha-numeric)
2. Email notification to HOD’s:
This facility allows sending emails to the HOD’s about the training program with list of persons to attend from the department; this will contain the Training Program Schedule Code. User can send / re-send Email notification to HOD’s, where list of HOD’s is fetched from external database+ based on the employee ‘s / students selected in the training program, informing about the training program and list of persons to attend from the department.
3. Updating the program schedule:
Updating the previously scheduled program. Here changes can be made for:
a) Program Training Room, date & time, Trainer, Topic, Type of Training, Duration of Program
Or
b) Add more people to the training program
Or
c) Remove people from the training program
Or
d) Re-calculate the list of attendees using leave record and remove people from the training program who are on leave on the day of the training program
4. Approval of training program:
Training department can mark a training program “Approved to be conducted”
• Training Program Schedule code (from Schedule Master) (alpha-numeric)
• Approve Flag (Boolean)
1. Data collection of attendees
Acquisition of data about arrival of a person to the training program from external database^ used by swipe card system application software, containing date & time of arrival, Training Room
2. Updating non-attendance of attendees by Administrator:
Administrator can approve the non-attendance of the previously selected employees to the training program
1. Evaluation by the trainer:
The trainer must evaluate a completed training program
2. Final closure of a program by Training Department
The training department can mark a program as closed
1. Person wise training attended during a year
List and print Employee and training programs attended by them
2. Training wise Training details
List and print Training program with all its details
• Training Program Schedule Code (from Schedule Master) (alpha numeric)
3. Checklist showing status of trainings for an individual showing programs attended and not attended
List and print Training program attended and not attended by an Employee
4. Training required and Training Completed
List and print Training program attended and not attended by an Employee / student
5. Exception list of attendees without invitation for a training program
List and print Employee names, which had attended training program without invitation
